Artworks Through Email:
Using technology to the assist in our job:
Many of us are just too caught up with work that we fail to use the
equipment and things that is available to its fullest. Especially for
lazy people like us, we will think of ways and methods to make life
easier. One the things that gave me great frustration is design and
approving the artwork, especially when there are tons of changes as
everyone start putting a finger into it. We need to change the background
colour, the little bug here and text there ... Traditionally all these
were done through the fax or the account servicing guy bringing down
the artwork. The fax copy is unclear; the text is too small to do much
checking and worst of all there is no colour! Try imaging what the designer
did with your fax copy or change especially with a very colourful design.
For others after the designer has done the amendments, you will have
to wait for the account-servicing guy to bring the amended copy to show
you, or even with courier it may take half a day. If you change your
artwork more than 5 times, imagine the travelling time and cost involved.
Now with the convenience of email, just ask your ad agency or design
house to convert the file and email you the design. It not only a simplify
our task, it also saves time. But you need a little bit more knowledge
to do this. You can either ask your design house to covert it to pdf,
tiff or GIF format. Whichever format is fine, you can use your windows
program like word to import in the tiff file or use acrobat reader to
view the pdf file. Both these programs are readily available. Pdf or
gif is preferred as the file size is smaller and easier send through
the net. For "tiff", go to "Microsoft Word" or "Microsoft
Power Point", open a fresh sheet, click "insert", then
"picture", "from file", go to the directory that
you save the file and "insert". Your design house may wish
to compress the file using a zip program and you may need to unzip it.
So some useful software that you need:
1) Acrobat Reader, which is free
at: http://www.adobe.com/acrobat/
2) Winzip evaluation program which
can be downloaded at http://www.winzip.com,
and cost only US$29 if you decide to use it.
Another plus point for using the softcopy
of the design is that you can email your colleagues, customers the ad
that will be out soon. Just a word of caution, please appreciate that
converting your artwork is no simple task. It may take up to 4 hours
if the file is big, so dont press your design house unnecessarily.
Please note that this process facilitates checking and approving, the
file is not meant to be use for casting to film. The pdf file is about
400kb to 900 KB after zipping but your original file can be up to 120
MB. Normally we can send email of up to 2 MB (in Singapore).
